Here is a copy of the agreement you opted into and signed upon membership.

Thank you for choosing to enroll in our Pre-Paid Membership Program. By opting for this program, members agree to the following terms and conditions:

1. Discounted Rates: Members who select the pre-paid option receive a significant discount on their monthly membership rates compared to our standard monthly payment plan.
2. No Refunds: Due to the nature of the discount provided under the pre-paid membership plan, we do not offer refunds once a membership is purchased. This policy is in place to maintain the integrity and benefits of the discounted rates.
3. Commitment: The pre-paid membership requires a commitment for the specified period paid for upfront. This commitment helps us plan and provide continuous, high-quality service without interruption.
4. Transferable: If within the first month, a student wishes to opt out of classes, we will offer a 1-time transfer to another family member.
5. Cancellation Policy: Members may cancel their membership at any time; however, please be advised that no refunds will be issued for any pre-paid periods, regardless of usage or any change in circumstances.  Student enrolled in “auto-pay” must cancel “IN PERSON” no calls, texts or emails 7 (seven) days prior to the next billing cycle.
6. Renewal: Members will receive a reminder before their membership expires with the option to renew. Renewal rates will be subject to the same terms and conditions as the initial pre-paid membership unless otherwise stated.

We hate to see you go, but if you must, the process is easy.

Simply visit the front desk and fill out a “cancellation form” a week (7) days prior to your next billing cycle. This form must be signed in person (not via phone/email).  We welcome feedback and would love the opportunity to improve and hopefully change your mind!

We allow students to opt out from our membership programs at any time, but please be aware that we do not give refunds for memberships that have already been processed or auto renewed.  THIS MEMBERSHIP IS SIMILAR TO ANY GYM SUBSCRIPTION (discounted pre-paid package).  For your convenience it can be cancelled within 7 days prior to your next renewal via the written cancellation form.

Emergency clause:  If you have a family emergency and miss the cancellation window, we offer a partial refund within the first 30 days.  After 30 days there are no full refunds.  The partial refund is still subject to 1-month fee at the current non-discounted rate

Subscription-Based Class Policy

(Not Pay-Per-Class)

At VIOLA KARATE our classes operate on a monthly subscription model, designed to support consistent progress, structured training, and a strong community.

How It Works:  Your membership like a school semester or streaming service you’re paying to reserve a consistent place in an ongoing program, not just for individual workouts.

• Students are enrolled in ongoing monthly, quarterly, or yearly memberships.
• Tuition/memberships charged recurring, not per class attended.
• Think of it like a subscription — your spot is always ready, even if life gets busy.
• Memberships are billed regardless of attendance. Your membership reserves your spot in class — even if you miss a session.
• Missed classes do not reduce or refund the membership charge. (see Sensei for make-up options).
• This policy helps us maintain a specific class roster, consistent instruction, and dedicated scheduling.

 AUTO PAYMENT POLICY

Recurring Student Membership Policy:

Welcome to Viola Karate Our recurring membership program is designed to provide continuous access to our facilities with the convenience of automatic billing. Please review the following policy to ensure you understand the terms of your membership:

1. Automatic Billing: Members enrolled in the recurring membership program agree to have their monthly membership fees automatically billed to their designated payment method (e.g., credit card, debit card, or bank account) on a specified billing date each quarter.
2. Membership Fees: The amount billed will reflect the current rate of the chosen membership tier. Any changes to membership fees will be communicated to the members at least 30 days in advance of the next billing cycle.
3. Cancellation Policy: Members may cancel their recurring membership at any time by simply signing our “cancellation form” in person at least [specific number of days, e.g., 7 days] in advance of the next billing date. After membership is processed, the program is non-refundable. 
4. Emergency circumstances can request a partial refund, but students are responsible for 1-month a standard (non-prepaid rate) and any credit card processing fees.  Balance of membership will be refunded.
5. Billing Discrepancies: Should there be any discrepancies in billing, members must contact Viola Karate within [time period within 30 days] of the billing date to rectify the situation. Refunds or adjustments will be handled on a case-by-case basis.
6. Updates to Payment Information: Members are responsible for maintaining up-to-date payment information in their membership account. Failure to update payment information that results in declined transactions may result in a suspension of membership privileges until the account is settled.
7. Suspension or Termination of Membership: Viola Karate reserves the right to suspend or terminate membership in the event of repeated declined payments or breach of dojo code of conduct policies and terms of service.
8. Changes to Terms and Conditions:  Viola Karate reserves the right to modify the terms and conditions of the recurring membership at any time. Members will be notified of significant changes well in advance of their coming into effect.

Freeze

• We understand life happens! We offer a one-time temporary membership freeze “mid membership.”  This is a one-time courtesy, once per year, not to exceed the length of 3-months.  After 3-months the membership is automatically turned back on.     

Cancellations:

Cancel your membership? No problem! Just stop by the dojo to sign our cancellation form prior to next billing date.  That’s it.  (no phone, text, or email permitted) so please don’t submit.  Only in person cancellations accepted.
